Casting Privacy Notice

What we collect, why we need it, how long we keep it, and how you can ask us to remove it.

Before you send an audition

Collin Poseley, operating as Skyrider Storyworlds operates the Hidden Tide casting program. When you create a talent account, the site receives a site-specific signed-in account identifier, your account email, and an optional display name from ChatGPT. We also collect the information you enter in the audition form, your headshot or recent photo, your audition video, and a record of your consent choices. We use this information to reopen your private account, keep each submission attached to the correct performer, show audition progress and feedback, review and administer casting, contact you about the project, protect the submission system, and document production decisions.

Only authorized members of the Hidden Tide production team and service providers that host or protect the audition system may process this information. We do not sell audition information, use it for cross-context behavioral advertising, or post your materials publicly without separate written permission.

Your optional future-casting choice is separate.

Leaving that box unchecked will not affect review for Hidden Tide.

01 · Who is responsible

The operator and contact

The operator responsible for this casting collection is Collin Poseley, operating as Skyrider Storyworlds, Sacramento, California. Questions and privacy requests may be sent to deepwoodsxco@icloud.com.

02 · What we collect

Your profile, work, and choices

  • Identity and contact details: legal name, preferred or stage name, pronouns, email, phone number, city or region, and confirmation that you are at least 18.
  • Talent account details: a site-specific ChatGPT account identifier, signed-in email, and optional display name used to protect access to your private casting ledger. We do not receive your ChatGPT password.
  • Professional and creative details: vocal, movement, acting, union, availability, biography, portfolio, role selections, and answers about your interest in Hidden Tide.
  • Audition media: an audition video and, if you provide one, a headshot or recent photo.
  • Casting records: submission date, applicant-visible review progress and feedback, private producer notes that are not shown in the talent account, messages associated with the audition, and your privacy and future-casting choices.
  • Limited security data: a short-lived, rotating cryptographic rate-limit token derived from a network address. It is used only to deter abusive submissions; the raw address is not written to the casting database.

Please do not submit a government ID, financial information, immigration documents, medical details, or other sensitive information unless we specifically request it and explain why it is necessary.

03 · Use and sharing

Private casting review

We use audition information to evaluate performers, schedule callbacks, communicate decisions, plan the company, prevent fraud or abuse, and handle legal or production obligations. Casting decisions are made by people; we do not use an automated system to decide who is cast.

Access is limited to you through your signed-in talent account, authorized production personnel, and infrastructure providers supporting the website, database, file storage, security, and authentication. We may also disclose information when legally required or when reasonably necessary to protect people, the project, or legal rights.

04 · Retention

How long we keep it

Hidden Tide only

Through January 29, 2027

If you are not selected and do not opt in to future casting, our standard schedule is to retain your profile, media, and review records through the selection period and delete them by January 29, 2027, 90 days after the October 31, 2026 casting deadline.

Optional future casting

Up to 24 months

If you separately opt in, we may retain your profile and audition materials for future Skyrider Storyworlds casting for up to 24 months after your latest submission, or until you withdraw consent, whichever comes first.

If a complaint, dispute, subpoena, or another legal obligation requires a longer hold, we keep only the records and for the time reasonably necessary. Records held only for that reason are restricted from future-casting use unless you separately opted in.

The talent-account link is retained with the casting record so you can reopen your private ledger. It follows the same deletion schedule as your underlying audition record. If you create an account but never submit materials, you may ask us to delete the account link at any time.

If you are selected or engaged as an independent contractor, information needed for contracting, payment, production safety, credit, dispute resolution, and legal compliance becomes a production record. We keep those records only for the applicable contract, accounting, legal, or claims period.

05 · Your choice

Future casting requires a separate yes

The future-casting checkbox is optional and unchecked by default. You can submit to Hidden Tide without selecting it. If you do select it, you can withdraw at any time by emailing deepwoodsxco@icloud.com. Withdrawal does not affect a review or other processing that already occurred, but it ends future casting use. A copy may remain restricted from casting use if an applicable recordkeeping rule or legal hold requires retention.

06 · Access, correction, and deletion

How to make a request

  1. Email deepwoodsxco@icloud.com with the subject “Casting privacy request,” or call 916-600-4015.
  2. Tell us whether you want to access, correct, or delete your information, or withdraw future-casting consent. Include the name and email used for the submission.
  3. We will verify the request using the submission email or another proportionate method. Do not send an identity document unless we specifically explain why it is necessary.
  4. We acknowledge the request within 10 business days and aim to complete a verified request within 45 calendar days. If deletion applies, we remove the active casting profile, uploaded media, contact information, and associated review notes. We create an opaque deletion marker containing account and casting-record identifiers plus a one-way email digest—not contact details or audition content—solely to stop an upload already in progress from recreating the deleted profile. The marker blocks recreation for 24 hours and is deleted during the next casting-portal request after that period. If a legal exception requires us to keep a limited record, we will explain that and restrict it from ordinary casting use.

You will not be penalized for making a privacy request. Depending on where you live and which law applies, you may have additional rights, including rights to know, correct, delete, or appeal a response.

07 · Security and updates

Keeping the record private

We use access controls, private media storage, upload limits, file-type checks, and abuse controls designed to protect casting records. No storage or transmission method is completely secure, so we cannot promise absolute security.

If this notice changes materially, the audition form will identify the new version and ask future applicants to acknowledge it. A new purpose that is incompatible with the purpose described here will require a new notice and, where required, a new choice.
